Can I take leave of absence?
If you want to take some time off from your course then you can apply for leave of absence. How you do this varies on whether or not you’ve started your course.
I’m on probation.
You can still take leave, however it’s like your probation has been suspended. When you return you will return to the same conditions on your enrolment, and you will serve out the rest of your probation term when you come back.
How do I apply for leave of absence?
I’m a domestic undergraduate student, applying for up to one year of leave.

Generally the University won’t allow you to take a leave of absence until you’ve completed one semester of study. However, if you can demonstrate exceptional circumstances, the University may allow it.
I have completed at least one semester of my degree.
If you have not taken leave before, or the total of the proposed leave and previous leave taken in the course doesn’t exceed one year, then follow the below instructions.
You can apply through your Study Plan in eStudent on QUT Virtual. To find this, go to the Study tab, and under the Study Plan heading, choose “Manage my Study Plan”. Then click “Leave of Absence” on the side menu.
Applications of this type are automatically accepted.
I’m a domestic undergraduate student, applying for more than one year of leave.
If the total amount of leave you propose to take is more than one year, including leave you’ve taken in the past, you will need to get the permission of the Dean of your faculty to take leave. For it to be approved, you will need to show that exceptional circumstances are causing you to take leave.
If your application is denied, you may apply for leave not exceeding one year total by the process stipulated above. These applications are automatically accepted.

In one year, you may take up to twenty days recreational leave and ten days sick leave. You can take this sort of leave as long as your supervisor agrees, without needing to get permission from the Research Degrees Committee. You can apply for this leave through QUT Virtual.
If you wish to take more time than this, you need to apply to the Research Degrees Committee. You should submit your application at least 4 weeks before you want to take leave. For sick leave, make your application as soon as possible. You make this application through QUT Virtual. Be sure to check with or not this will affect your scholarship payments, if you have one.
I’m an international student.
As an international student visa holder, you can only apply for leave of absence on the basis of:
- a medical certificate; or
- exceptional circumstances beyond your control, such as a death in your family.
Usually, you can take leave for six months without penalty. If you take a leave of absence for longer than six months, your student visa will be cancelled, and you’ll need to apply for a new one before you return to study at QUT.
To apply for leave you need to fill out a Leave of absence or Course cancellation
and/or Withdrawal without penalty (LI) form and hand it in to the Student Centre. Attach a personal statement about your exceptional circumstances or illness, and attach original documentation.
What if I am not allowed to take a leave of absence?
If you think that your application has been rejected and this was unfair or unduly harsh, contact the Guild’s Student Rights Hub and we can help you. We will help you complete a Review of Academic Ruling to try and get you the best outcome.
How do I come back to University after a leave of absence?
Once the leave of absence has expired you will be sent a Re-instatement of Enrolment (RE) form by the University. If you do not re-enrol then your enrolment will be cancelled, and you will need to reapply if you wish to continue studying.
